CourtTrackPro LLC ("we", "our", "us") operates the CourtTrack Pro application. This Privacy Policy explains how we collect, use, and protect your personal information when you use our tennis tracking application.

2. Information We Collect

We collect the following types of information:

• Account Information: Email address, name, and password when you create an account
• Profile Information: Player name, birth date, country, UTR rating, and other tennis-related data you provide
• Match Data: Match results, scores, opponents, tournaments, and game statistics
• Financial Data: Tennis-related expenses you track (stored locally and in your account)
• Academic Data: Grades and courses for NCAA eligibility tracking
• Device Information: Device type, operating system, and app version for technical support
• Usage Data: How you interact with the app to improve our services

3. How We Use Your Information

We use your information to:

• Provide and maintain the CourtTrack Pro service
• Calculate and display your estimated UTR rating
• Send match reminders and tournament notifications (with your permission)
• Process subscription payments through Apple App Store, Google Play, or Stripe
• Send trial expiration reminders via email
• Improve our app and develop new features
• Provide customer support

4. Data Storage and Security

Your data is stored securely using:

• Firebase (Google Cloud): For authentication and database storage
• Encryption: All data is encrypted in transit (HTTPS/TLS)
• Local Storage: Some data is cached locally on your device for offline access

We implement industry-standard security measures to protect your personal information.

5. Third-Party Services

We use the following third-party services:

• Firebase (Google): Authentication, database and file storage
• Anthropic: AI processing for the AI Tennis Coach, and reading of receipt photos you attach to expenses (see section 6)
• OpenAI: Speech-to-text transcription of your voice notes (see section 6)
• Google (Gemini): Speech understanding for structured voice dictation that fills in a form for you (see section 6)
• Stripe: Payment processing for web subscriptions
• RevenueCat: In-app purchase management for iOS and Android
• Apple App Store / Google Play: App distribution and in-app purchases
• Resend: Transactional emails

Each service has its own privacy policy governing their use of your data.

6. AI Features and Third-Party Processing

CourtTrackPro uses artificial intelligence to provide personalised coaching features (AI Tennis Coach, match analyses, pre-match briefings, training plans, video analysis, equipment and nutrition guidance). These AI features are powered by Anthropic's Claude API, which also reads the receipt photos you attach to an expense in order to extract its amount and date. Voice notes you record for the coach are transcribed by OpenAI's Whisper API. The structured voice dictation that fills in a form for you is processed by Google's Gemini API.

The app asks for your permission before any of this data is sent. The request names each company and what is sent to it, and you can decline: nothing is transmitted, and the rest of CourtTrackPro keeps working.

When you use the AI features:

• Your requests and the relevant context are sent to Anthropic for processing
• Photos of receipts you attach to an expense are sent to Anthropic to read the amount, date and merchant
• Audio you record as a voice note is sent to OpenAI to be converted into text
• Audio you record for structured dictation is sent to Google to be turned into form fields
• Each provider processes this data under its own privacy policy — Anthropic and OpenAI and Google
• None of these providers uses your data to train their models
• Responses are generated in real time and are not retained by these providers beyond the session

You can use CourtTrackPro without the AI features. The AI Coach section is optional and clearly identified, and recording a voice note is always your choice.

7. Data Sharing

We do not sell your personal information. We only share data:

• With service providers necessary to operate the app (listed above)
• When required by law or legal process
• To protect our rights or the safety of users
• With your explicit consent

8. Audience measurement and storage on your device

We measure traffic to our sites with Matomo, which we host ourselves at stats.courttrackpro.com, on a server located in Switzerland. No measurement data is sent to any third party, and we use no Google Analytics, no ad network and no advertising tracker.

Matomo is configured without any cookies. Measurement no longer stores anything on your device, and there is no consent banner to accept or decline.

What each visit records includes: your IP address and the country inferred from it, the page viewed and its title, the page that brought you there, the outbound links you click, your browser language, your browser and device type, your screen size and the time of the visit.

Separately, a few pieces of information are kept in your browser so that we know where a sign-up came from: where your visit came from, the page you landed on, any campaign parameters, and the date of that first visit. They leave your browser only if you create an account, at which point they are attached to that account. On the marketing site they persist until you clear site data; in the web app they disappear when you close the tab. A language display preference is also kept there.

You can delete all of it by clearing site data in your browser, without preventing CourtTrackPro from working. To opt out of audience measurement, write to contact@courttrackpro.com and we will exclude your visits.

Finally, our sign-up pages use Google reCAPTCHA Enterprise to tell a person from an automated program. Google receives technical signals about your browser and device for this purpose.

9. Your Rights

You have the right to:

• Access: Request a copy of your personal data
• Correct: Update inaccurate information in your profile
• Delete: Delete your account and all associated data (see Account Deletion)
• Export: Export your match and tournament data
• Opt-out: Disable notifications and marketing communications

10. Children's Privacy

CourtTrackPro is not intended for children under 13, and the app requires users to confirm they are at least 13. We do not knowingly collect personal information from anyone under 13; if we become aware that we have, we delete it. Users under 18 must have a parent or guardian create and supervise their account, and parents can manage family accounts and control their child's data.

11. Data Retention

We retain your data for as long as your account is active. When you delete your account:

• All personal data is permanently deleted within 30 days
• Anonymized analytics data may be retained for service improvement
• Payment records are retained as required by law

12. International Data Transfers

Your data may be processed in the United States, where our application servers are located; our self-hosted audience measurement server is located in Switzerland. By using CourtTrack Pro, you consent to this transfer. We ensure appropriate safeguards are in place for international data transfers.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or in-app notification. Continued use of the app after changes constitutes acceptance of the updated policy.
